Below you will read our Privacy and cookie statement. This statement has been drawn up with the aim of informing you about how we handle the processing of your personal data. You are not obliged to provide your personal data to us. We will do everything possible to limit the processing of personal data to a minimum. If this cannot reasonably be expected of us, your refusal to provide personal data may result in our legal relationship not being established or continued.

Do you have any questions about one or more provisions? Do not hesitate and ask us! We are happy to explain it to you.

1. What personal data can we process from you?

  • First and last name;
  • E-mail address (business and/or private);
  • Phone number (landline and/or mobile);
  • Address details (individuals);
  • Company details (business address, postal address, Chamber of Commerce number, trade name);
  • Personal data arising from communication with us;
  • Financial personal data, such as payment details;
  • Social media account name;
  • Microsoft Teams, Skype or ZOOM name and e-mail.

2. Why do we process these personal data and what are the legal grounds for this?

If you contact us by telephone, in writing or by e-mail or if you fill in our contact form, we process your first and last name, e-mail address, telephone number, address details and additional personal data that you provide yourself. It is a legitimate interest that we use this personal data. This personal data is namely necessary to be able to answer your question or to respond to, for example, your request for a quote or notification.

If you participate in a (video) meeting on location or via Microsoft Teams, Skype or ZOOM which is organized by us on the basis of an agreement, we process your name, company name and e-mail. During the meeting, your name is displayed in the list of participants. It may also happen that you are seen and heard during the meeting (visual and audio material). If it concerns a meeting with other participants, it may be that your visual material is processed. The processing of your visual material is always in agreement with you.

In addition, we process personal data with the aim of concluding an agreement with you. For this we process your first and last name, address and location details, file details and financial details. This personal data is necessary to perform administrative actions and is necessary due to legal obligations and legitimate interests. It is possible that we get to see data from a counterparty of our client, for the settlement of a dispute.

We may also send our newsletter once a month. You will only receive this newsletter if you have registered for this on the website and have thereby given us permission to send our newsletter to you. For sending the newsletter we process your name and e-mail address. Each newsletter contains an unsubscribe link. We use MailChimp to be able to send you the newsletter. For this purpose, we keep your data until you have unsubscribed.

Furthermore, we process personal data when a follower or reader places a comment on one of our social media accounts (Facebook & Instagram). The privacy regulations of the specific platform apply to this link and not this privacy statement. We cannot guarantee that these third parties handle your data securely. You can read here how these platforms handle your privacy:

  • Facebook;
  • Instagram.

Sometimes it is possible that we want to place a review on our website or social media channels. We always ask for your permission before we place a review on our website or social media channels. We process your name, trade name and rating for this. In principle, we leave this review for an indefinite period, until you indicate that you want the review removed.

3. How long do we keep your personal data?

We do not store your personal data longer than is necessary to achieve the purposes for which they were collected. In principle, we apply the following retention periods for the following categories of personal data:

  • Personal data that are used for administrative acts: a maximum of 7 years starting from the first day of the year in which they were recorded (Legal retention period from the General Act on State Taxes).
  • Personal data recorded from the service provision: depending on the nature of the file or project, at least 1 year from the completion of the service, unless otherwise agreed in writing.

As soon as this data is no longer necessary for the purpose for which it was collected, it is legally not permitted to keep it any longer. We will therefore not create extensive archives with customer data.

4. With whom do we share your personal data?

We only share your personal data with other organizations if this is necessary for the execution of our agreement, or to comply with a legal obligation.

We have processing agreements with the other organization(s) to ensure the same level of security and confidentiality of your personal data. The following third parties, including our processors, receive data from us:

  • The hosting of the website (TransIP);
  • Payment services such as Mollie;
  • Bookkeeper / Accountant;
  • Delivery services;

  • Third parties engaged on behalf of and instructed by us, such as bailiffs, lawyers and other service providers;
  • Mailchimp;
  • Parties to whom we provide data because the law requires us to do so.

The transfer of data to countries outside the EU will be limited by us as much as possible. If this is nevertheless necessary, we will only transfer data to countries that guarantee an appropriate level of protection, such as the EU-US Privacy Shield.

5. How do we secure your personal data?

We use an encrypted website (SSL encryption), which can be recognized by: https:// (Secure Socket Layer). Data sent via the website cannot simply be intercepted. In addition, your personal data is stored securely, both physically and digitally.
